01Why counting is the problem

A count you can only afford to do quarterly is a count that arrives too late.

The count shuts the floor

A full physical count means closing, pulling staff onto overtime and handling thousands of small high-value pieces one at a time. So it happens quarterly at best — and everything that moved in between is already untraceable.

Shrinkage surfaces far too late

By the time a quarterly count finds a piece missing, the footage is gone and the roster has turned over. Nobody can say which day it left. A loss you cannot date is a loss you cannot act on.

Pieces move constantly

Tray to locker, locker to display, branch to branch. Every move is a chance for a piece to be recorded in one place while physically sitting in another.

RFID changes the economics of counting. When a full tray takes seconds and nothing has to be touched, the count stops being an event you schedule and becomes something you simply do — every morning, before the doors open.

How long does an RFID jewellery stock count take compared to barcode?

A full-store count that takes two to three days with barcode scanning takes minutes with RFID, because RAIN RFID reads hundreds of tags at once through glass and trays without line of sight. A single case of 200-plus pieces can be verified in under a minute, which is what makes a daily count practical rather than a quarterly event.

What does OctaTag for jewellery do today, and what does it not do?

Today it is a tracking system: RFID tagging and lookup, tray and locker assignment, tray reassignment, per-piece records covering weight, cost, maker and status, last-scanned timestamps, and a stock dashboard across warehouses. It does not currently include quoting, check-out and check-in, invoicing or consignment workflow — those exist on the OctaTag rental product, and are on the roadmap for jewellery rather than shipped. If you need them now, say so on the call and we will tell you honestly where it stands.

Can RFID tags be attached to jewellery without damaging the piece?

Yes. Jewellery RFID tags are small loop or string tags fixed at the existing price-tag point, so they replace labelling you already apply rather than adding handling. Because reads happen through the case, tagged pieces are handled less often than under barcode counting, not more.

What information does OctaTag hold against each piece?

Each piece carries its RFID tag, name, group, the locker and tray it belongs to, the tray it is currently assigned to, weight, purchase cost, manufacturer, current status and the timestamp it was last scanned. Richer gemmological attributes such as purity, stone detail and certificate references are not held today.

Can OctaTag manage multiple jewellery locations?

Yes. Stock is organised as warehouse, then locker, then tray, so multiple premises or strongrooms can be tracked separately while pieces stay locatable down to tray level. Pieces can be reassigned between trays and lockers as stock moves.

Do I need to buy RFID hardware separately?

No. Handheld UHF readers and RAIN RFID tags are included with the plan, sized to your stock count, so you are not running a hardware procurement project alongside the software rollout. Additional readers and tags can be added at any point.
